Review Child's Profile

Welcome, administrators! In this comprehensive guide, we'll navigate the Digital Childcare platform together, exploring how to efficiently review and manage a child's profile. Review this step-by-step instructions to ensure a seamless experience in overseeing the crucial details of each child's journey within your childcare centre.




To access a child's profile, begin by navigating to "My Centre" and selecting the "Children" tab.







Every child will have an actions tab where admins can view or download the child's profile and adjust the program or room assignment.


Before we dive into the child's profile, let's review the other two functions under the "Actions" tab.



In the "Actions" tab, admins can download a child's profile. By clicking "Download," admins will obtain a copy of all important details, ensuring educators have the necessary information on hand when needed.







Next, we will review the "Change Program/Room" tab.





A new box will appear where admins can change the child's program or switch the room assignment. 


When ready, click "Submit" to complete the change.






Now, to access the child's profile, click on "View" in the "Actions" tab.

In the child's profile, admins will find multiple categories. Let's review each one.

Under the General section, you can access the child's personal information, details about their personality and strengths, custody information, and the program in which they are currently enrolled.




In various sections, the administrator can edit existing information in the child's profile by clicking on the "Edit" button.




Administrators can also add new information for families by clicking the "New" button. 






In the Contacts section, access vital information including family details, emergency contacts, authorized individuals for pick-up, professional contacts, and restricted contacts.








Families or administrators can also input temporary authorized pick-up information. Enter the authorized individual's name, the start date, and the end date.




In the Health & Support section, you'll discover comprehensive health details such as allergies, dietary restrictions, medical plans, medications, and non-prescription products. Additionally, any individualized support plans will be available in this section.




In the Immunization section, you can access the child's current immunization schedule and an updated copy. If the child is exempted from any or all immunizations, you'll find the relevant documentation here.
Families will also receive notifications when a child's immunization is due, if applicable.


In the Billing section, administrators can review the child's invoices, check payments, access subsidy information, and configure split payment settings if needed.




In the Consents section, administrators can access all the consent forms that parents have agreed too. Click on each title to take a closer look at the consent forms.





In the Settings section, you can archive a child's profile upon withdrawal. It also indicates if invoicing has been automated for the family.





When a child is withdrawn from the centre, make sure to click on the edit button and archive the child's profile by checking off the status box, and then save.



When a child transitions to the next program, the administrator is notified 2-3 months in advance. This allows ample time to assess space availability and either accept or decline the switch, giving families time to plan for alternative care if needed.
